As an Administrative Business Partner, you're at the heart of your team's business operations and activities and the soul that keeps your team moving forward. You anticipate the needs of your team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date core technologies used (Google Drive, Sheets, Doc, Wunderlist, Slack and InEntertainment). You also use that knowledge to strategically support your team's projects. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions.

Working behind the scenes, we make a significant impact on the Artists we represent as well as producers and directors around the world who we interact with. You are adept at leading and managing a variety of simultaneous projects, which requires the particular talent of being able to communicate effectively with all levels of the organization.
Responsibilities
• Enter holds into artist's schedules and send confirmation to buyers and artists. Holds are when an artist is considered for a job and is a confirmation of their availability. It gets everyone on the same page and avoids future misunderstandings that can damage relationships.
• Co-ordinate artists schedule with their international agents.
• Create, distribute and get approval of deal memos. These are simple 2 page contracts for artists once they are booked. It is imperative these be executed and approved in a timely manner.
• Create accounting records and follow up to make sure payment is received in a timely manner. Interact with agents, artists, bookkeeper and accountant.
• Being able to effectively track simultaneous projects using technology not paper and handwritten notes.
• Build efficiency and effective responsiveness into existing operations, and help define new operational strategies.
• Mentor new team members.
• Serve as a technical lead for and manager of small projects.
Qualifications
Minimum qualifications:
• BA/BS degree or equivalent practical experience.
Preferred qualifications:
• 1 year of direct executive support experience.
• Experience serving as a project lead from conception to completion.
• Ability to quickly learn new tools and technologies; Interest and experience in using technology and the Internet to improve work efficiency. Familiarity with Wunderlust, Slack and Google Drive, Sheets and Doc.
• Comprehensive knowledge of process, project and program management theory and practices - and the ability to apply them when solving operational issues.
• Expectation of complete confidentiality on all business matters.
• Ability to effectively communicate and collaborate with a diverse range of people and job functions.
• Experience in collections.
