Accounts Payable Specialist
The Accounts Payable Specialist is a member of the Finance department and is responsible for paying vendors and employees appropriately and ensuring that the company complies with related payment laws. The position is responsible for performing all activities necessary for the timely and accurate processing and reporting of payments.
Responsibilities:
• Making on-time payments for all our Accounts Payable, which includes processing payments to vendors, content providers, influencers, tax authorities, and for all other operating expenses
• Managing payments and processes associated with our external travel provider Egencia, expense report tool Concur, bank-issued travel and procurement cards, and third-party payment systems
• Commit to timely and thorough responsiveness to internal and external requests
• Utilize third party banking platform to initiate wires, transfers, ACHs, and print checks
• Process payment runs twice per week
• Responsible for creating and managing employee travel accounts in Concur and vendor creation in ERP
• Serve as a back-up to the Payroll specialist, overseeing bi-weekly payroll runs for hourly and salaried employees in the US and internationally (ADP and SD Worx)
• Serve as a back-up to Payroll specialist processing wires for funding of various benefit plans, domestic and international
• Serve a back-up to Payroll specialist processing cost center changes and payroll audits, such as the 5500, Workers Compensation reports, EEOC reports, and other HR-related compliance reports
Qualifications:
• 3-5 years of related experience in a high-volume environment
• Bachelor's degree preferred
• Knowledge of various Microsoft software applications, with an emphasis on Excel
• SAP (HCM and GL) experience preferred
• Knowledge of ADP payroll software a plus
• Must possess general understanding of accounting concepts and practices such as month-end accruals, general ledger account structure, and chart of accounts
• Must have strong Excel and strong general computer skills
• Must be very organized and have the ability to work under continual deadline constraints
• Must possess strong critical thinking and communication skills and be able to interact with all levels of management
• Must be comfortable in a dynamic, growing environment that requires the ability to multitask and be willing to assist across various projects and responsibilities within the department
• Drive process improvements such as workflow design, payment processing, automation projects, converting vendors to e-invoicing, vendor management, approval flow, and record-keeping
• Independent thinker capable of assessing critical situations, identifying opportunities for improvement and greater efficiency, recommending solutions, and executing on decisions
• Track and improve upon KPIs such as invoice processing speed, correction rate, and invoice processing volume (per week, per month, per year)
• Must demonstrate commitment to excellence in customer response and service
