As a strategic partner to the show leadership, the Production Office Manager handles the diverse support needs of the production to ensure an efficient, positive and team-oriented production office. This role has a heavy emphasis on supporting the film crew on all levels and requires a nimbleness in the face of constant shifts as they pertain to producer, director, department and show needs and requests. This person will be resourceful, intuitive, thoughtful and possess a high emotional and situational intelligence that will be exercised every day.
RESPONSIBILITIES:
• Partner with Producer team and Production Manager to stay in tune with the show morale, and help create and implement morale-building events for the show
• Mentor Desk PA's and ensure they are growing in their studio and production knowledge for preparation to move to a department PA role; evaluate performance and give feedback to Desk Production Assistants (PA's)
• Create and ensure a supportive, friendly and professional atmosphere in the Office of the Producer for the rest of the feature film team; work with Producer team to address issues both within the office and the rest of the film team
• Partner with Department Managers, Producer team, and the Production Manager communicating relevant information to the Production Staff and to the pod in the spirit of collaboration and mutual support; ensure effective communication is happening both within the Production Office and the film
• Manage crew craft services/hospitality programs and coordinate all weekend and evening meals; provide additional support when needed during production crunches
• Collaborate with Producer team and event planner to plan Disney/Pixar screening and internal wrap party event for feature films; project manage the wrap party milestones (e.g. location booking, internal announcements, hand outs, logistics). Oversee the budget, secure guest list approvals, track all guest responses and field all internal special requests and logistics
• Use institutional Pixar knowledge and experience to offer input, guidance, and suggestions to the Production office as they go through the various stages of production
• Take initiative to drive and create solutions for the pod that simplify or enhance current processes
• Responsible for accounting associated with expenses made by the Office of the Producer; purchase requisitions, petty cash and account reconciliation
• Investigate and provide for special needs when necessary for film talent and employees
• Design and maintain office policies, standards and procedures
• Preserve and promote Pixar's culture of respect and innovation
• Produce show and department merchandise within budget and deadline
• Coordinate company-wide distribution of show-specific gifts and merchandise
• Participate in the hiring and training of new PA's
• Participates in other special projects as needed
QUALIFICATIONS:
• Customer Service experience and values required
• Resourceful and creative-thinker under pressure
• Production, theatre or stage management a plus
• Budget and resource management skills
• Excellent leadership skills - experience at building teams, partnering with others, motivating others, managing performance, and identifying and resolving personnel issues
• Must have superior communication, feedback, and follow-through skills
• Ability to prioritize the department's workload with attention to schedule and budgetary limitations
• Flexibility; able to adapt to ever-changing circumstances, situations, and people
• Ability to anticipate and manage multiple tasks within a dynamic, fast-paced, and deadline-driven production environment
• Ability to maintain calm professionalism in a stressful production atmosphere
• Must be enterprising, innovative, highly organized, and resourceful
• Proficiency at Excel and Word
