The role aims at providing support to the Managing Director of our Spanish Releasing activities and to all other internal teams as appropriate: Sales, Marketing, Dubbing, Finance and external partners, especially local productions.
What you'll do:
General Responsibilities:
• Act as the first point of contact for the Managing Director: monitor and filter incoming telephone calls, emails and correspondence.
• Perform all the bookings of required meetings for MD, plan and organize events when required (local, corporate ones, Sony annual events).
• Coordinate closely with colleagues to arrange for regular calls and meetings between managers.
Travel Reservations:
• Ensure business trips are booked in a timely manner to secure best rates and secure relevant approvals are received before each trip using the company travel agency.
• Apply for entry visas and make sure all logistics and legal documents are available before travel dates.
• Assist staff and clients with their local booking reservations in addition to tour suggestions.
• Manage Travels & Expenses, using internal tools (Ariba, Concur): Request travel authorization, expense reports preparation and follow up.
• Prepare expenses reimbursements after receiving the related approvals.
Business Support:
• Manage and organize screening room and meeting rooms agenda and maintenance.
• Input annual events and all releases in our system (Interplan): pictures' release details (release dates, GBO and Revenue estimates, screen counts, prints costs, Territory Title Analysis, Official Release Target from information provided by MD & Sales Director.
• Run reports from different internal and external systems, mainly DEX (Spirit world) and Rentrak (Comscore) to update estimates in Interplan timely and accurately or to provide data to the teams.
• Preparation and follow-up of internal business documents (line-up comps, multi-year calendar and events, etc), chain rights letters, uplift analysis.
• Local Pick-ups:
• Assistance with local producers.
• Follow-up of Distribution Agreements, alongside with local lawyer and Home Office, from short form drafts to long form executed agreements.
• Upload and follow-up in Royalty Contracts sharepoint.
• Projected revenue analysis reports.
• Overall data: status, rights, conditions, costs, results, financial plans, files, etc.
• Request the creation and follow-up of every local pick-up in the different company systems (Interplan, GPMS, etc.).
• Work with other divisions in the completion of the picture delivery and the available rights.
• Chek of international rights on pictures for different purposes.
What you have:
• Fluent in English
• Educated to minimum undergraduate degree level
• Ideally 1-2 years' experience in a media environment
• Strong IT skills, in particular Excel (pivot tables, formula), word, PowerPoint and must be confident learning new systems and AI
• Highly numerate with excellent attention to all details
• Able to provide information in a useable form and on a timely basis to others who need to act on it
• Proactive, flexible and adaptable
• Good communication skills: able to express ideas, thoughts and concepts clearly in writing
• Team player who is willing and able to assist colleagues during busy periods
• Demonstrate an effort to reach out, work and collaborate with resources outside the territory and region
